Introduction

Nova — Beyond School (hereinafter "Nova") respects the privacy of its users and is committed to protecting personal data in accordance with the General Data Protection Regulation (GDPR) and applicable Italian law. This notice describes what data we collect, how we use it, what tools we adopt and what rights data subjects have.

Nova activities take place at Forum Sport Center, Via Cornelia 495, 00166 Roma.

Tools we use

To manage requests, bookings and communications we use the following tools:

  • Paperform, to collect requests to join the free trial days;
  • Google Calendar, to book introductory calls;
  • WhatsApp Business, for direct communication with families;
  • Website and hosting, for browsing and content publishing;
  • Any cookie/analytics tools, if active, to improve the site experience.

Personal data collected

We collect the personal data voluntarily provided through contact, enrollment, call-booking or free-trial-day forms, such as:

  • parent/guardian's full name;
  • email address;
  • phone number;
  • child's full name;
  • child's age / year of birth;
  • date chosen for the free trial day;
  • educational situation reported by the family;
  • any allergies, special educational needs or particular needs communicated by the parent/guardian;
  • content of messages sent via email, form or WhatsApp.

Special categories of data

Information about allergies, special educational needs or other particular needs of the child is requested only when necessary to organize a safe and adequate welcome and participation. This data is processed only on the basis of the parent/guardian's explicit consent and kept only for as long as strictly necessary.

Purposes of processing

Personal data is processed for the following purposes:

  • responding to information requests;
  • managing introductory calls;
  • managing bookings for free trial days;
  • organizing activities and welcoming participants;
  • communicating practical details via email, phone or WhatsApp;
  • managing any special needs, allergies or special educational needs;
  • complying with legal obligations;
  • improving the site, if technical cookies or analytics are active.

Legal basis for processing

Data processing is based on:

  • Pre-contractual/contractual measures to respond to requests, manage calls and organize free trial days;
  • Consent for special categories of data, future updates, any photos/videos and non-essential communications;
  • Legal obligation where applicable;
  • Legitimate interest for organizational management and follow-up on requests already initiated, where appropriate.

Data retention

Data is kept for the following indicative periods:

  • information requests, calls and WhatsApp: up to 12 months from the last contact;
  • free trial day data: up to 12 months from the end of the activity;
  • data on allergies/special needs: only for as long as necessary to manage the activity, unless required by law;
  • data for administrative/tax obligations: as required by law;
  • cookies: as set out in the Cookie Policy.

At the end of the retention period, data is deleted or anonymized.

Recipients and providers

Personal data is accessible exclusively to the Nova team and, when necessary, to the following technical and professional providers:

  • Paperform, to collect enrollments;
  • Google Calendar / Google, to manage calls;
  • WhatsApp Business / Meta, for direct communications;
  • the website hosting provider;
  • any email services and consultants/professionals involved in organizational management.

Each provider is selected based on compliance with data protection regulations.

Transfers outside the EU

Some providers, such as Google, Meta/WhatsApp and Paperform, may process data outside the European Economic Area. In these cases, processing occurs under the safeguards provided by the GDPR and according to the respective providers' privacy notices.

Cookies and similar technologies

The site uses technical cookies necessary for the platform to function and, if active, aggregated analytics tools to improve the user experience. Any non-technical cookies, profiling tools, pixels or marketing trackers will only be activated with prior consent via a cookie banner. See the Cookie Policy for more details.

Photos and videos

Any photos or videos taken during trial days or Nova activities will only be collected and used after specific notice and separate consent from the parent/guardian.

WhatsApp Business

If a user contacts us via WhatsApp Business, we process their phone number, profile name and message content to respond to requests and send practical information. Users can ask at any time to no longer be contacted via WhatsApp by writing to info@novabeyond.school.

Children's data

Nova offers programs for children aged 7 to 13. Data relating to children is provided exclusively by parents or legal guardians. We do not collect data directly from children without parental consent.

Data subjects' rights

Data subjects may exercise the rights provided for under Articles 15-22 of the GDPR, including:

  • access to their personal data;
  • rectification or updating of data;
  • erasure of data ("right to be forgotten");
  • restriction of processing;
  • objection to processing;
  • data portability;
  • withdrawal of consent at any time;
  • lodging a complaint with the Italian Data Protection Authority (Garante).

Nova reserves the right to update this Privacy Policy at any time. Changes will be published on this page along with the last-updated date.
